Burley-in-Wharfedale Dementia Action Group
Minutes of Meeting held 25th May 2017
1. Present: Quentin, Eileen, Susan C, Val, Sylvia, Sue J, Bernie, Niccola+ guest Sharon Husband, Medical Secretary and Acting Assistant Manager for the first hour
Apologies: Ken, Lynne, Judith, Wendy
2. Minutes of 20th April were noted with Susan thanked for such a full record. There were no matters arising that were not covered elsewhere on the agenda
3. Memory Tree: the discussion on the launch and next steps was taken early in the meeting as Sharon could only stay for the first hour. 5 couples attended the launch on 18th May with 6 volunteers present. With Elizabeth and Bob leading the session, it had gone very well and it felt like a very good opener. Birthdays and anniversaries had been recorded. A suggested donation of £5 per couple is suggested (but with no pressure whatsoever) and £20 was received and has already been paid into the bank. Insurance cover is in place. It was noted that Lucy Maddison had congratulated the Group on launching this project and sent best wishes for its success.
For the next meetings, the following actions were suggested: a rota for volunteers with a minimum of 4 in attendance at each session (a rota was started during the meeting); the youth group may help with lanyards; laminated cards with the dates; slightly more prominence for the money box; all to keep promoting including GP surgery and Burley Hall (Action: Susan to forward online publicity to Sharon). It is acknowledged that we cannot afford both Elizabeth and Bob indefinitely and in any case, Elizabeth has indicated support for around 3 months and Bob for 3-6 months. We therefore need volunteers to step up who can in time run these sessions. Janet (ex-CPN) and Niccola are interested in working on the carer session and Sylvia and Sue J on the activity session. Action: Susan will investigate what we need to on DBS checks.
It was agreed that we need a more formal plan to cover both who is doing what and the money – a business plan. Action: Susan has started both of these and will share them with Niccola to bring back to the next meeting. Action: Niccola will pursue the funds application with the Parish Council and the Community Trust and Action: Susan will approach the Burley and Menston Civil Charities.
4. Future meetings: The format of future meetings was discussed, with an agreement that only main agenda items should be minuted, and pending actions recorded on a separate sheet for future consideration. Communications will be an additional topic for future meetings: It was also mentioned that our Facebook page has 41 followers. Susan is to organise posters and flyers to promote the Memory Tree and also cards to give to potential attendees. It was discussed that for future promotion of events, it is wise to not submit too much information to the Parish Council Newsletter, which only has limited space. It would be also helpful if we could receive help from someone with IT expertise, to help with data base information, mailing lists, and future publicity. Action: Niccola will get website hits for the next meeting.

- Sylvia visited The Burley Medical Practice on 11/5/2017. The session was well received and the practice is now implementing an action plan to become fully dementia friendly. Sharon, a medical secretary from the practice, attended the meeting and it was discussed that the practice would promote BDAG activities as part of its dementia friendly remit. The possibility of a financial donation towards Memory Tree was raised. Sharon will be leading on the action plan and is the nominated link with BDAG.
- Open event on 21/5/2017. There were 34 attendees, 2 excellent speakers, and wonderful cake! The event was enjoyable and possibly generated interest for people to join BDAG. Niccola will issue a further press release regarding The Memory Tree and the Open Event, as well as covering these on social media.
6. Future Events:
- Bernadette is working to facilitate a couple of dementia friends’ information sessions for the Parish Council and Library volunteers.
- Sylvia will try and organise sessions with the D of E youth group and Burley Oaks School; Action: Niccola to get contact for D of E.
- A dementia friendly performance of Kiss me Kate is to be shown at Ilkley Playhouse on June 6th at 7 30pm.
- During the Burley Festival week, two dementia friends’ information sessions will be offered on 21st August at 2pm and 24th August at 7pm at St Mary’s Parish Centre.
- A proposed Memory Walk for September 10th has been cancelled. It was felt that the logistics of organising such an event was too much for group members to take on.
- There will be another coffee morning on 30th September at St Mary’s Parish Centre.
7. Other activities:
- Bank Account is open at last and money has been deposited. This has taken a lot of time and Niccola is to ask Barclays for a donation as recompense for the delay.
- Susan handed over a cheque for £700 to be paid in. This amount of money was generated from a previous coffee morning. £25.10 is to be paid in from money raised at a Churches Together vintage tea party. In future, Action: Niccola will do a full financial report, and a budget for The Memory Tree will be presented. There is a need to apply for more funds from various organisations as well as donations in kind, such as books as memory resources, and help with stationery costs. Wendy has said her work place can assist with printing costs.
- Action: Val and Ken are going to send out a list of their analysis of village businesses and their interest in wanting to become more dementia friendly. Action: Sylvia will aim to liaise with the Co-op.
8. Other matters:
- There is now an Ilkley and Area directory available with information on useful dementia friendly services. This can be obtained from CABAD, formerly KIVCA.
- Bradford University is offering courses and talks regarding dementia. Details can be found here: http://www.bradford.ac.uk/health/dementia/
- Val and Ken were thanked for the donation of stationery via their son.
- Paula Truman is to be invited to a future meeting.
- The cost of staging Don’t leave me now, is to be explored.
